Queen's Email Services - Outlook 2002 (XP)

The following advice details how to set up your Outlook 2002 mailer to work with the University e-mail system. The email name H.Simpson and the login name hsimpson are used as an example and should be replaced by your own email name and login name.

Outlook 2000 comes as part of the Microsoft Office Pro suite and you can obtain this software on a cd-rom from Information Services reception in the David Bates building.

Begin by selecting Tools -> E-mail Accounts... from the top menu line. A dialogue box will be displayed as below. Select the 'Add a new e-mail account' radio button and then click on the Next button.

You will next be presented with a number of dialogue boxes to complete. When you have completed a dialogue box you should move to the next one by clicking on the Next button. The first dialogue box asks for the server type. Make sure the IMAP radio button is selected as below and then click on the Next button.

Now enter your personal e-mail settings as in the example below. The incoming and outgoing server settings should be the same for all staff. It is recommended that you do not set up Outlook to remember your password in the interests of security. Before proceeding to the next stage you must check the advanced settings. To do this select the 'More Settings' button.

Set the General settings as below then select the Connection tab..

Make sure the 'Connect using my local are network (LAN)' radio button is selected then select the Advanced tab.

Make sure the Advanced settings are as below. Note in particular the 'Server Timeouts' setting which should be set to the maximum value of 10 minutes to avoid the problem of connections dropping. The Root folder path setting is the directory on the email server in which your remote folders are stored. If you previously used Simeon you need to set Outlook in the same way to allow you to view your existing remote folders. The setting for ex-Simeon users is the one shown below otherwise leave it blank. Once completed select the OK button to complete this phase of the setup.

This will return you to the E-mail Accounts dialogue box as below. Now select the Next button.

 

Finally, select the Finish button to complete the setup.

Finally

You need to make some further adjustments to make Outlook fully operational. Select Tools -> Options from the top menu line, then select the Mail Setup tab. The dialogue box below will be displayed. Make sure the 'Send immediately when connected' box is checked and then select the Send/Receive... button.

The next dialogue box gives the new mail check settings. If you want Outlook to check for new mail automatically check the box marked 'Schedule an automatic send/receive every'. Make sure that the time setting is a minimum of 10 minutes. If large numbers of users connect to the server with shorter settings the server may become saturated with new mail check requests and this adversely affects performance. One other action is required to improve performance further. Select the Edit button to change the Send/Receive settings.

By default Outlook will check all your remote folders for new messages. Since most people only receive email into their inbox there is no point in checking the other folders. The Send/Receive setting dialogue box shows a list of remote folders and there is a check box next to each. If you only receive messages into your inbox make sure that this is the only box checked as in the example below. Select the OK button when you have finished. This will return you to the Send/Receive Groups dialogue box above. Select the Close button to complete the setup.

Outlook 2002 (XP) should now be ready for use.
