Working Out of Office

Access Resources Off Campus

Usually out of office services are available from a web browser on your remote PC, using your existing Queen’s credentials.  The following services are available:

Webmail – primarily intended for use by users who wish to access their QUB email while away from the campus.  However, the service can also be used on campus.  Available through the "My Email" application within Queen's Online (QOL).

NetStorage - allows web access to the files/data held in your personal network drive (H:\).  If you also require access through NetStorage to your K: drive or other personal or shared drives then please contact the Helpdesk.  Available through QOL.

SharePoint - staff can login to their SharePoint sites.

Queen’s Online – offers a secure and managed environment in which staff and students may access online resources and services.

Citrix Secure Gateway  - enables off campus access to a Windows desktop which offers many of the features available from a user’s normal on-campus login.

FTP - allows research personnel and other users to transfer large files over the network.

Note: when accessing web-based systems that require authentication the system may offer to remember your password.  We strongly recommend that you DO NOT accept this option.  If you do, another person using the same computer may be able to access your information.  You should always log out properly from the services.

Software Off Campus

For Use on Queen’s Computers (including Laptops):  Copies of software that is available can be ordered via Computer Reception provided that the institution or department is licensed for the software being requested.  The fee for the production of each CD is £5.

For Use on Personally Owned Machines:  Microsoft Work at Home (WAH) rights have been obtained for the licensed desktop software.  This allows staff to install a copy of licensed software on a personally owned or leased notebook or desktop computer.  The fee for the production of each CD is £5.  The software must be used for work-related purposes, as users are not permitted to use the software for personal purposes.  Records must be kept of all who receive software for WAH use.  Users availing of the WAH facility will have to sign a form, one for each product used.  The form is available from Computer Reception (see location).

Visit the 'Software and Equipment' section for further details.

Norton Anti-Virus (NAV)

This software can be obtained for home usage. Copies can be obtained from Computer Reception (see location).  Disks containing copies of the software are borrowed and returned.  The University has purchased a fixed number of licences and you will therefore be asked to fill out and sign a form before you receive a CD.

Two types of disk exist for two scenarios.

Equipment that is attached to the University's network, either permanently or regularly (e.g. a laptop), will have a fully managed copy installed on it.  This means that updates are applied automatically.  When a laptop is used at home it will try to contact the managing server on the University's network to obtain virus definition updates.  This option is not recommended if you have a slow Internet connection off campus.

Personal PCs and Notebooks used at home for University business may have an independent copy installed.  This copy will not be managed and users will have to run the LiveUpDate feature on a regular basis to keep virus definitions up-to-date.

Important Note:  If you use a PC off campus and suspect that it has become infected then you should not under any circumstances transfer files between that PC and any University PCs until the virus has been removed. Information Services publishes information on specific virus threats online.  This includes tools to fix infected PCs.

Visit the 'Security and AntiVirus' section for further information.
