Welcome Guides

Welcome Guides containing information about the Welcome Week programme and Enrolment and Registration will begin to be despatched from the end of August onwards, to those who have accepted an unconditional offer of a place.

The Welcome Guide will be sent to your home address so it is important that you notify both UCAS and the Admissions and Access Service of any change to your contact details.

Your Welcome Guide will contain your username (student number) and password. You be able to use these to login to your new Queen's email address. Please check on a regular basis as the University and your academic department will use this to send you crucial information that you need to know before arriving.

If you have submitted your AS12 reply but have not received your Welcome Guide by 12 September, please contact the Enrolment and Registration Helpdesk (028 9097 3223).

 

Welcome Week

Welcome Week starts on 17 September and is preceded by an event for parents of new students hosted by the Vice-Chancellor on Sunday 16 September.

There are three elements to Welcome Week:

• Enrolment and Registration (which you must complete to become a Queen’s student)
• School Induction Programme (where you will meet key staff within your School, learn more about your course and have opportunities to meet other students on your course)
• University Welcome Programme (a range of fun events & activities to help you settle into University life, get familiar with the Queen’s campus and meet other students from different cultures and studying different courses)

Welcome week is a compulsory part of your timetable and all students are expected to attend so please ensure that you are available.

Your School (which is the name the University gives to your academic department) is responsible for your degree programme. Each School organises an induction programme with activities to help you get to know other students, meet some of the staff from your School, and be introduced to the course and the facilities of the University. As part of your School induction programme, you will meet your personal tutor (adviser) and other academic members of staff who will assist you with course selection. Details of the programme and appointments with academic staff will be sent to your Queen’s email address (details on how to access your Queen’s email account will be sent in your Welcome Guide).

The central University Welcome Week programme complements your School induction programme and provides you with the opportunity to gain more information on the range of services offered by both the University and the Students’ Union, including details about sports services, clubs and societies, student support and much more. The programme also includes a number of events led by Student Guides – senior students who can answer your questions, give you useful tips, and share their own experiences of University life with you.

A very important part of this central University programme is the Vice-Chancellor’s welcome address which will be held on Monday 17 September in the Whitla Hall.

Full details will be available on the Welcome Week website at www.qub.ac.uk/welcome. Please make sure you visit the website and check your Queen’s email regularly to stay in touch with what’s on.

 

Enrolment and Registration

It is not until you have completed the full registration process that you will be a fully enrolled student of Queen’s and entitled to use the wide range of services and facilities.

Registration consists of:

• Completing all 10 steps of the online registration wizard;
• ID, visa and qualifications verification;
• Agreeing arrangements for payment of fees;
• Getting your student card.

If registration is not fully complete by the end of the fourth week of term, you will be withdrawn from the University.  If you wish to re-register and are permitted to do so, a re-registration fee of £50 will be charged.

ID must be either a passport or a driving licence which is valid at the time of registration.  Photocopies or other ID will not be accepted.

International students must provide visa information in order to comply with UK Border Agency requirements.

Original parchments, certificates, or transcripts must be provided to allow us to authenticate in person that you satisfy your entrance requirements where these are not provided directly to us by UCAS.

The Registration Wizard will be live from 12 September. Your username and password will allow you to go online to check emails and start your registration before you arrive at the University.  The Registration Wizard leads you through the required steps, but a Registration Wizard Guide is available online and details will be provided in your Welcome Guide.

Depending on your programme of study you may be allowed to choose your courses before Welcome Week. Please note that this differs vastly between programmes and Schools. You must check your Queen’s email before 12 September to find out what is required regarding course enrolment.
