Connect Task Portal Guidance for Managers and Staff

In line with government COVID-19 guidelines, work that can be done from home should still be done from home. Staff whose role does not involve or support the direct provision of services to students, staff or research and who can work remotely, should continue to do so. Queen’s recognises that, depending on the nature of their work, or due to individual circumstances some staff members may have skills, knowledge and capacity within their work hours to contribute further by undertaking new or additional tasks.

The Connect Task Portal is a new mechanism that facilitates ‘requests for work’ to be completed by a staff member with capacity, thereby utilising our workforce flexibly across the organisation.

  • Purpose

    This Connect Task online portal has been created for the dual purposes of supporting managers with specific tasks during the COVID-19 crisis and enabling staff members make best use of their time, skills and knowledge in contributing to university work. It also provides staff with the opportunity to experience and develop in other areas beyond their immediate area of work.

  • Enabling Staff

    It is recognised that, depending on the nature of their work, some staff members may have skills, knowledge and capacity within their work hours to contribute further by undertaking new or additional tasks. The portal therefore enables staff and their managers to view the portal identifying tasks which the member of staff can complete, giving opportunities to contribute in supporting other areas of the University.

  • Guidance for Managers

    There are two main areas when the portal will be beneficial:

    1. Posting a task to be completed:
    2. In the Manager Area: Create Task and View Applicants for Task

      a) Create Task - If a manager has a particular task that needs completed, they post the details of the task, the skills required, the duties of the task and the estimated time required to complete the task. The task is then available to view by staff. The manager can also, through View Tasks see all tasks that have been created for their area, and edit any details where required.

      b) View Applicants – through View Tasks, View Applicants, the manager can see who has registered interest to carry out this piece of work and they can select the most appropriate staff member to complete it, based on the information given. Once they have selected a staff member from those who have registered interest, they inform the staff member via email and mark the task as closed. This removes the task from the available tasks list.

    3. Optimising capacity, skills and knowledge of your team members:
    4. In the Staff Area: View Available Tasks

      Some team members may have capacity to undertake additional tasks outside of their own work area. This area of the portal allows managers to view which tasks are available that may be suitable for team members to complete. They can then discuss with and encourage team members to express interest in completing the particular task, advising them to detail in the portal, how they meet the task requirements.

  • Guidance for Staff

    This area of the portal allows staff to see what tasks are available and what may be of interest to them:

    a) View Available Tasks - This area of the portal allows staff members to view which tasks are currently available that may be suitable for them to complete, making best use of their skills and knowledge, as well as enabling them to develop and experience another area of work.

    b) View Details - This will give more details on the task and allow the staff member to register their interest and comment briefly on how their skills and knowledge allows them to meet the requirements of the task. There is also a check box where they can verify they have spoken to their manager regarding registering interest. Should the staff member no longer have capacity to complete the task, they can simply click Withdraw.
